AI Receptionist vs Human Receptionist
This is not an either-or decision for most businesses. A human receptionist handles judgement, relationships and exceptions. An AI receptionist handles volume, repetition and the hours nobody is on the desk. The practical question is which calls belong where.
The comparison people actually need
The useful question is not 'which is better' but 'which calls does each handle well'. Coverage, consistency and cost behave very differently between the two.
- Coverage: a person works set hours; an AI agent answers whenever a call arrives
- Consistency: a person adapts; an AI agent asks the same questions every time
- Judgement: a person reads context an AI agent will not
- Cost model: headcount scales with hours, Vocanta plans scale with call time
How Vocanta divides the work
Vocanta is designed to sit alongside your reception, taking the calls that would otherwise go unanswered and escalating anything that needs a person.
- Step 01AI takes the overflow
Calls that arrive while your team is busy, out, or closed.
- Step 02AI takes the repetition
Standard intake, routine questions and appointment requests.
- Step 03People take the judgement
Negotiation, complaints, sensitive conversations and account decisions.
- Step 04Handoff is explicit
Escalation rules and reasons are configured and recorded, not improvised.
What you get
Availability outside working hours, identical intake on every call, and answering several calls at once.
Reading a difficult caller, handling exceptions and building a relationship over time.
Standard bookings and enquiry capture — either can do it; only one can do it at 9pm on a Sunday.
Vocanta plans are priced per business by call time, starting at £250 per month, rather than per seat.
New processes are configured once rather than trained repeatedly across staff.
Vocanta does not claim to replace your receptionist, and it should not be sold to your callers as a person.
Where businesses use it
- Covering evenings, weekends and holidays without extra shifts
- Taking overflow so reception can serve people in front of them
- Holiday and sickness cover
- Consistent intake across multiple branches
- Freeing trained staff for the calls that need them
AI answers first. People take over when it matters.
Vocanta is not designed to replace your team. You decide which situations must reach a person — and when a caller asks for one, or the enquiry falls outside the configured scope, the agent says so plainly and follows your escalation rule: a transfer, a message with a callback time, or an agreed follow-up. The reason for every escalation is recorded.
How we handle your call dataQuestions we get asked
Should we replace our receptionist with AI?
We would not recommend it as a starting point. Most businesses get the clearest benefit by pointing overflow and out-of-hours calls at Vocanta first, keeping their receptionist for the conversations that need judgement, and reviewing transcripts before widening the scope.
Can the AI transfer a call to a person?
Yes. You decide which situations need a human. When one of those comes up — or when a caller asks for a person — Vocanta transfers the call to the right team member, takes a message with a callback time, or agrees a follow-up, and records the reason for the escalation so whoever picks it up has the context.
How much does it cost?
Plans start at £250 per month and are priced by the amount of call time you need rather than by seat, billed monthly or annually with a 20% saving on annual billing. Extra call time can be added at any point and you can change plan monthly.
How quickly can we go live?
Setup starts with a short call to agree which calls Vocanta answers, the questions it asks, and where each outcome should go. You then choose the voice in the Voice Studio and we test the flow on your own example enquiries. Most businesses are answering live calls within a few working days, with no engineering work needed from your side.
