An AI Receptionist for Dealerships and Automotive Services

Sales enquiries and service calls arrive on the same line, and both suffer when the phone rings during a handover or while the workshop is at full capacity. Vocanta answers, works out which side of the business the caller needs, and books or routes accordingly.

The calls that go unanswered

Where automotive lose enquiries on the phone

  • A buyer calls about a listed vehicle while sales staff are with customers
  • Service calls stack up first thing in the morning
  • Test drive enquiries arrive in the evening after browsing online
  • Callers asking about parts and MOT slots wait in a queue
  • Weekend enquiries when the service desk is closed

Evening test drive enquiry

CallerI saw a used Golf on your website — can I take it out for a drive?
VocantaI can arrange that. I have Thursday at 10:00 or Saturday at 1:30. Which suits?
CallerSaturday. I might part-exchange my current car too.
VocantaNoted — I'll flag the part-exchange for the sales team to discuss with you. Saturday 1:30 is booked.
Test drive booked Saturday 1:30pm · part-exchange flagged for a human · sales team notified

What it asks on the call

  • Whether the call is about sales, service, parts or finance
  • Vehicle registration, make and model where relevant
  • The work required, or the vehicle they are interested in
  • Preferred dates for a test drive or service slot
  • Whether a courtesy car or collection is needed
  • Contact number and preferred callback time
After the call
  • Caller details and whether the enquiry is sales, service, parts or finance
  • Vehicle details captured on the call
  • The appointment booked or the callback agreed
  • A written summary routed to the right department
How enquiries are qualified

Sales, service, parts and finance enquiries are separated and each carries its own questions. Vehicle and registration details are captured up front so whoever takes over is not starting from nothing.

How appointments are booked

Test drives and service or MOT slots you make available are offered and confirmed on the call, with the vehicle details recorded against the booking.

When a person takes over

Part-exchange valuations, finance quotations, warranty disputes and complaints are escalated to your team. Vocanta does not quote prices, finance terms or repair costs beyond what you have configured.

Automotive — questions we get asked

Can Vocanta quote for repairs or finance?

No. Pricing, finance terms and repair estimates are escalated to your team unless you have explicitly configured fixed information for the agent to read out.

Can it separate sales calls from service calls?

Yes. The agent establishes what the caller needs and applies your routing rules, so service enquiries and sales enquiries follow different paths with different questions.

Can it book MOT and service slots?

Yes, within the availability and job types you make available during setup, with the vehicle registration captured against the booking.

How long does setup take?

Setup begins with a short call to agree which calls Vocanta answers, the questions it asks and where each outcome goes. After you choose the voice and we test the flow on your own example enquiries, most businesses are live within a few working days.

What does it cost to get started?

Plans start at £250 per month for 750 minutes of call time and are priced per business rather than per seat, with a 20% saving on annual billing. Higher plans add call time and assistants, and you can change plan monthly.
