An AI Receptionist for Restaurants and Hospitality

Service hours are the hours the phone rings. Vocanta answers while your team is on the floor, takes booking and event enquiries, handles the routine questions, and puts the calls that need a manager straight through.

The calls that go unanswered

Where hospitality lose enquiries on the phone

  • Booking calls during service, when nobody can reach the phone
  • Callers asking about opening hours, parking or dietary options
  • Guests changing or cancelling a booking
  • Event and large-party enquiries arriving after closing
  • Weekend enquiries when the line is constantly engaged

What it asks on the call

  • Date, time and party size
  • Name and contact number
  • Occasion or seating preference
  • Accessibility or dietary requirements
  • Whether this is a new booking, a change or a cancellation
  • For events: type, numbers and budget expectations
After the call
  • Guest name, number and the booking or enquiry details
  • Requirements and preferences captured on the call
  • The booking made or the callback agreed
  • A written record you can review or export
How enquiries are qualified

Vocanta separates new bookings, changes and event enquiries, and asks the questions each one needs. Event and large-party enquiries can be flagged for a manager rather than handled as a standard booking.

How appointments are booked

Table availability you make available is offered to the caller and confirmed verbally, with party size, timing and any requirements recorded. Where you prefer to confirm bookings yourself, the agent captures the request and agrees a callback instead.

When a person takes over

Complaints, large events, private hire, supplier calls and anything commercially sensitive go to your team, with the reason recorded. The agent does not invent menu items, availability or pricing beyond what you have configured.

Hospitality — questions we get asked

Can Vocanta take restaurant bookings?

Yes, within the availability and booking rules you configure. Where you would rather confirm bookings yourself, the agent captures the request with full details and agrees a callback.

Can it answer questions about the menu?

It answers from the information you supply. Anything outside that — or anything it cannot verify — is escalated to your team rather than answered from guesswork.

What about complaints?

Complaints are escalated. The agent takes the caller's details and the nature of the issue, then transfers to a manager or agrees a callback, with the reason recorded.

How long does setup take?

Setup begins with a short call to agree which calls Vocanta answers, the questions it asks and where each outcome goes. After you choose the voice and we test the flow on your own example enquiries, most businesses are live within a few working days.

What does it cost to get started?

Plans start at £250 per month for 750 minutes of call time and are priced per business rather than per seat, with a 20% saving on annual billing. Higher plans add call time and assistants, and you can change plan monthly.
